
Today you’re getting to listen in on one of our weekly Heart University team meetings. Literally, we hit record on our weekly zoom team meetings back in July and what follows is what went down. Here’s who you’re going to hear from in this episode.
Obviously Evie and I (the owners of The Heart University)
Rachel – our executive assistant – handles everything admin, inbox, and customer service
KT – our community manager, content creator & copywriter
Ally R – Our podcast manager and event coordinator
Allee C – (yes we have 2 allee’s on our team) is our marketing director
And then the 2 girls on Allee’s team we work with are Christina who handles the Heart’s social media and Madi (who oversees the implementation of our email funnels).
In today’s peek behind the curtain you’ll hear us and our team go through our meeting workflow from check-ins to prayer, to starting off going over what we call The Scorecard (a check-in on major numbers throughout our business). After we go over our scorecard we typically dive into everything Allee C and her team has for us on the marketing end. You’ll hear us chat about a big evergreen funnel we’re in the process of setting up, the marketing lead-up to our group coaching offer, some problem-solving issues on the backend of our subscription service The Caption Playbook, annnddddd near the end Ally R (our podcast manager and event coordinator) gives an update on a venue she found for the next Heart Conference.

There ya have it! A never before seen glimpse at our weekly team meeting. As I’m sure you noticed, we have a lot of fun, but there’s also sometimes a little chaos as we get shiz done. We wanted to show you the behind-the-scenes of a real live meeting to give you an idea of what some of our work looks like. Hopefully, you got some enjoyment and inspiration out of that meeting… but there are a few key takeaways we want you to take note of:
- We do NONE of this alone. We have skill sets that we bring to the team, absolutely, but there are SEVERAL other people on the team who have completely different skills that are strengths in areas where we DO NOT THRIVE. Having a solid team around you is one of the strongest assets you can have as you grow your business.
- We welcome a LOT of team input. We ask their opinions on a lot of big decisions. Why? Because these girls GET our mission and vision behind this company and we want to hear all the different perspectives on decisions and ideas.
- Having a structured system within your meetings (like the Level10 meeting format that we use based on the book Traction by Gino Wickman that we talk about in Ep. 144) is KEY to having a smooth meeting, staying focused on the top priority tasks, and not letting things slip through the cracks. If you have a team of 1 or more people working with you, we can’t recommend this system enough.
