Today we have the absolute queen of systems joining us—Taryn Rachelle!
In this episode, we dove deep with Taryn, covering alllllll the steps to get started with setting up your own systems and processes. Taryn shared the must-have platforms and software she recommends for creatives like you to supercharge your efficiency.
Taryn’s Story
Taryn Rachelle is the CEO & Founder of The Social Lifestyle Co. and host of She Can Systemize Podcast. She is all about building your business around your life and not the other way around and she helps the wedding and event industry do so by creating intentional and strategic systems. From her knowledge about platforms like Dubsado and ClickUp to automations that save her clients 10+hrs per week, systems are her true zone of genius!
Best place to start
The first thing is getting a systems mindset. Your system is your process, not the tool that you use. Everyone has a system and process whether you think or know it. The first thing is always mindset and once you get the systems mindset you will be golden.
Example: An easy thing to think about could be the editing process for a photographer. When you look at your process, think about the very start and the very end. Then your process is all the steps in between of taking those photos and then handing them off. No little step or detail is too small. You don’t want to leave a lot of holes. Then when you go to delegating those processes there will be steps missing.
First System Process to Document: An inquiry process.
Favorite platforms or tools
Tango: for SOP’s (documenting processes).
Dubsado (CRM): leads come in, contracts, invoicing, etc. (manages clients).
ClickUp: Project Management (used in correlation with Dubsado with Zappier) (keeps you on task with projects).
Slack: team communication.
Zappier: helps connect and have all platforms communicate with each other.
Where to Start
Pen and paper. A good old-fashioned brain dump. Don’t look at the blank screen on your computer or go straight to Tango. Break it up into three sections: day-to-day basis, week-to-week basis, and now what do you do monthly. Have three separate pieces of paper. As the days go on and every day that you are working, add anything else that comes up.
Then you can go in and get it digital.

What is the biggest lesson you have learned in business?
Build your business around your life and not the other way around. Our business is built for us, not for our clients. When we center it around our clients, that is when burnout happens.
